Sync Website Leads Into Zoho CRM Automatically

Captured leads become records in your Zoho Leads module with name, email, phone, and company filled in, sourced and described so your team knows exactly what they are looking at.

How the Connection Works

Site2CRM connects to Zoho with OAuth 2.0 and supports Zoho's regional data centers: whether your account lives on zoho.com, zoho.eu, or zoho.in, the connection detects your data center and API domain automatically during authorization. You approve scoped access to the Leads, Contacts, and Accounts modules and can revoke it from Zoho at any time.

What Syncs to Zoho CRM

Leads

Each capture becomes a record in the Zoho Leads module, the natural entry point for Zoho's assignment rules and workflows.

Richest field set

Zoho receives the fullest payload of any integration: name, email, phone, and company all sync when the visitor provides them.

Labeled at the source

Every record arrives with its Lead Source set to Site2CRM and a description identifying the capture, so website leads are always distinguishable in Zoho reports.

Field Mapping

NameFirst_Name, Last_Name

(automatic)Lead_Source: Site2CRM

Zoho requires a Company value on Leads; when a visitor leaves it blank, Site2CRM fills it so the record is never rejected. Lead score and conversation history stay in Site2CRM.

How duplicates are prevented

Deduplication happens at capture, before anything touches Zoho. When the same email submits again within 24 hours, Site2CRM matches it to the existing lead instead of creating a new one, so repeat submissions do not multiply records in your Leads module.

Reliability

Sync runs as a background job within seconds of capture, so your visitor never waits on the Zoho API. Every lead is always stored in Site2CRM first, which means a Zoho outage or an expired authorization can never lose the lead itself; it stays in your Site2CRM queue either way.

How to Sync Website Forms to Zoho CRM Without Zapier

Zoho form pipelines tend to collect steps, especially once the data center and the token refresh are in the picture. Here is the chain against a direct connection.

Through ZapierWith Site2CRM
Your form plugin or form service captures the submission. The Site2CRM form or AI chat agent captures the lead and stores it in Site2CRM first.
The Zap trigger picks the submission up. On polling triggers the wait depends on your Zapier plan. The push to Zoho starts the moment the form submission is accepted. There is no queue and no polling interval in between.
A Formatter step splits the full name into first and last, because Zoho requires Last_Name.The name is split before the push, and Last_Name is always populated.
A Filter step decides whether the submission qualifies, and spam gets through whatever you did not filter.Honeypot and rate-limited submissions are rejected at capture, and a repeat from the same email inside 24 hours updates the existing lead instead of creating a second one.
An action step creates the Lead record. The Lead record is created with the fullest field set of any of our integrations.
You keep the connection alive yourself, and re-authorize when it drops.Tokens refresh automatically, against the data center your account actually lives in.
Every step in the chain counts as a Zapier task. The lead counts once.
  • Nothing has to be rebuilt in Zoho. Your layouts, workflow rules, assignment rules and reports stay exactly as they are.
  • Website leads are labeled at the source, so they are filterable in Zoho without a manual tagging step.
  • You can keep Zapier for everything else. Site2CRM has its own Zapier app for the apps it does not integrate with natively.

Requirements

  • Works with Zoho CRM editions that include API access, including the Free edition
  • Admin access in Zoho CRM to authorize the connection
  • A Site2CRM Starter plan or higher (the free plan does not include CRM sync)

Feed Zoho's automation, do not replace it

Zoho teams live on assignment rules and workflows that start from the Leads module. Site2CRM drops website and chat captures exactly there, labeled with a Site2CRM source, so your existing Zoho automation picks them up like any other lead, and your reports can separate website leads from everything else with one filter.

Frequently Asked Questions

Do I still need Zapier to connect my forms to Zoho CRM?

No. Site2CRM pushes to Zoho CRM directly, so there is no Zap to build and no polling interval between the form submission and the record. Zapier is still worth keeping for the apps we do not integrate with natively, and Site2CRM has its own Zapier app for exactly that.

Which Zoho data centers are supported?

All of them. The connection detects your account's data center and API domain during authorization, so US, EU, India, and other regions work without configuration.

Does phone number sync to Zoho?

Yes. Zoho receives the richest field set of our integrations: first name, last name, email, phone, and company all sync when the visitor provides them.

How do I tell website leads apart in Zoho?

Every synced record arrives with Lead Source set to Site2CRM and a description identifying the capture, so one filter in Zoho isolates your website leads.

I have multiple Zoho organizations. Which one gets the leads?

The one you are logged into when you authorize the connection. To switch, disconnect and reconnect while logged into the correct organization.

Do AI chat leads sync too?

Yes. Leads captured by your AI chat agent go through the same pipeline as form submissions and arrive in your Leads module the same way.
