How Booking Works in Site2CRM

The scheduling part is the easy part. What matters is where the meeting goes afterward.

A visitor picks a time

They open your booking page or the booking widget embedded on your site, choose a meeting type, and pick from real open slots on your calendar.

The booking becomes a lead

Site2CRM creates a lead record from the booking, or matches an existing one by email or phone so you do not end up with a duplicate. The meeting, the answers to your questions, and the source are all attached to it.

It syncs and it gets worked

The lead syncs to your CRM like any other, and it enters your pipeline with an owner, a stage, and an activity history. The meeting is not a dead end on a scheduling tool.

What You Control

Meeting types

Define separate meeting types with their own duration, description, color, and required fields. A fifteen minute intro call and a sixty minute consultation can live on the same page.

Weekly availability

Set open hours per day of the week. Add blocked dates for holidays and time off, with a reason recorded against each one.

Buffers and notice

Set a buffer between meetings, a minimum advance notice so nobody books you in ten minutes, and how far into the future the calendar opens.

Custom questions

Ask what you need before the call. Custom questions support required fields, and the answers are stored on the lead so you read them before you dial.

Meeting location

Choose Google Meet, Zoom, phone, or a custom location per meeting type. Google Meet links are generated automatically when calendar sync is connected.

Your branding

Logo, welcome message, primary and accent colors, background, and text color. Paid plans control the palette and you can redirect to your own page after a booking.

Calendar Sync and Reminders

Google Calendar, both directions

Connect a Google account and booked meetings are written to your calendar with a Google Meet link attached. Events already on that calendar close the matching slots, so nobody books over your existing commitments. If the connection ever breaks, Site2CRM records when and why instead of quietly failing.

Outlook and Apple, through an iCal feed

Two way sync is Google only today. For every other calendar, turn on the iCal feed and subscribe to it from Outlook, Apple Calendar, or anything that reads iCal. Bookings appear on your calendar. Being a read only feed, it does not push your existing events back into your availability.

Confirmations and cancellations

The guest gets a confirmation with the meeting link and a private cancellation link. You get a notification. If either side cancels, both sides are emailed and the booking keeps the reason on record.

Automatic reminders

Reminders go out ahead of the meeting, twenty four hours and one hour before depending on your plan. Every reminder is logged against the booking, so a guest never receives the same reminder twice.

Common Questions

Does the booking page create a lead in my CRM?

Yes. Every booking creates a Site2CRM lead, matched to an existing lead by email or phone when one is already there, and that lead syncs to HubSpot, Salesforce, Pipedrive, Zoho CRM, or Nutshell like any other lead you capture.

Which calendars can it sync with?

Google Calendar syncs both ways, so booked meetings appear on your calendar and existing events block out your availability. For Outlook, Apple Calendar, and anything else, Site2CRM publishes a read only iCal feed you can subscribe to.

Can someone book without giving an email address?

Yes. Phone only bookings are supported. When there is no email on the booking, Site2CRM skips the guest confirmation email and notifies you instead.

Are reminders sent automatically?

Yes. Site2CRM sends a twenty four hour and a one hour reminder depending on your plan, and it records which reminders were sent so a guest never gets the same one twice.

Can guests cancel on their own?

Yes. Every confirmation carries a private cancellation link. When a guest cancels, both they and the host get an email and the booking is marked cancelled with the reason.

Can I put the booking flow on my own website?
